Privacy and cookies, in plain English.

No legal fog. This is what happens to your details when you get in touch, when you join, and when you simply read this site.

Who I am

Coached By Keevil is Nathan Keevil, a sole trader based in Worcester, Worcestershire. I decide what happens to the information described on this page, which in law makes me the controller of it, and makes all of this my responsibility rather than anyone else's.

I handle it under the UK General Data Protection Regulation, the Data Protection Act 2018, and the rules covering marketing messages. I am not required to appoint a data protection officer and have not appointed one, so every question comes to me: contact@coachedbykeevil.co.uk.

Who this covers

  • Anyone who reads this website.
  • Anyone who books a call, messages me, or emails.
  • Members, while we work together and afterwards.
  • Anyone on my email list.
  • Anyone who books a seat at one of my events.

What I collect, and why

Booking a call. Your name, email address and phone number, through the calendar on the contact page. That calendar is run for me by GoHighLevel, the system I use to book calls and keep in touch, and your details are stored there. I use them to hold the call and to follow it up.

Messages. Whatever you send me by WhatsApp or email, so I can reply. WhatsApp is run by Meta, and their terms cover the message on its way to me.

Coaching you. Your check-ins, your training and food, your measurements and weight, your progress photos, and the conversations we have. This lives in Kahunas, the coaching platform behind your app, where you log your check-ins and I build your plan. All of it is used to coach you and for nothing else. The next section covers the health side of that separately, because the law treats it differently.

Paying. Card payments go through Stripe, and some members pay by bank transfer. Stripe handles cards on its own systems. I never see or hold your full card number. I do keep the record of what you paid and when, because tax law says I must.

My email list. Your name and email address, if you asked for something free or told me to keep you posted.

Events. Your booking details, through the ticketing company handling that event.

This website. It collects nothing itself. No analytics, no advertising pixel, no tracking of any kind. It is hosted by Vercel, whose servers keep the short-lived technical logs every website host keeps.

Your health information

This is the part most coaching sites skip, and it matters more than the rest of this page put together.

Your weight, your measurements, your progress photos, and anything you tell me about your health, your medication or a GLP-1 like Mounjaro, is health information. The law treats it as the most sensitive category there is, and I am only allowed to hold it if you have specifically and clearly agreed that I can. You are asked for that in the app when your account is set up, separately from everything else, before any of it is collected.

You can take that agreement back whenever you want, and I will delete what I hold. It goes nowhere: not to another member, not to a platform to train anything, not into an advert. As the terms say, nothing about you is published anywhere, including your name, your photos and your results, without your written permission.

Coaching is guidance and accountability, not medical advice. If something about your health affects your eating, your training or your weight, speak to your GP, and tell me so the plan respects it.

Why I am allowed to hold it

The law says I need a reason for each thing I do with your details. Mine are:

  • To answer you and hold the call. Because you asked me to, and because working out whether coaching suits you is a fair thing for both of us to do first.
  • To coach you. Because you and I have an agreement and this is me delivering it.
  • To hold your health information. Because you gave me clear, specific permission, and only for as long as you leave it standing.
  • To take payment and keep accounts. Because we have an agreement, and because tax law requires the records.
  • To email you. Because you asked to hear from me, or because you are a member and it is about the coaching you are paying for. Either way you can stop it in one click.
  • To use a review or a transformation photo. Only ever because you said yes to that specific use, in writing.
  • To sort out a dispute. Because I am allowed to keep what I would need to defend a claim.

Where the reason is my own legitimate interest rather than your agreement, you can object and I will look at it properly.

Emails from me

You only get emails from me if you asked for them, or because you are a member. Every one has an unsubscribe link, and asking me to stop by any other route works just as well.

I do not buy email lists, I do not scrape them, and I do not email people who never asked to hear from me. When you opt out, I keep the minimum needed to make sure you do not end up back on the list by accident, and nothing else.

Cookies

This site sets no cookies of its own, and runs no analytics, no advertising pixel and no tracking tools. That is why you have not been asked to accept anything: there is nothing to accept.

The booking calendar on the contact page is embedded from GoHighLevel and may set its own cookies to make the calendar work. Links to WhatsApp, Trustpilot, Stripe, Eventbrite and Instagram take you to those companies, which have their own cookies and their own policies.

If I ever add analytics or advertising, this page changes and you get asked first, before anything is set.

Who else sees it

I do not sell your information, and I never will. It is shared only where the work needs it:

  • Kahunas, the coaching platform behind your app, which holds your check-ins, your plan, your measurements and your progress photos.
  • GoHighLevel, which runs my calendar, my enquiry messages and my email list.
  • Vercel, which hosts this website.
  • Stripe and my bank, for payments.
  • Meta, if you message me on WhatsApp.
  • The ticketing company for an event you book.
  • My accountant, where the records need to be seen.
  • Anyone the law obliges me to tell, such as a court, or where it is needed to defend a legal claim.

If I ever sell or hand over the business, your information would move with it and this page would still apply to it.

Information going outside the UK

Some of the companies above are based in the United States, including GoHighLevel, Vercel, Stripe and Meta. Kahunas is a company in the United Arab Emirates, and says it processes information in the United Kingdom, the European Union, the United Arab Emirates and the United States, using the standard contract terms where they are needed.

Wherever your information goes, it has to be protected by a recognised safeguard: a country the UK has approved, the UK to US data bridge where the company is certified under it, or the standard contract terms the Information Commissioner's Office publishes for exactly this. Ask me about any particular one and I will tell you which applies.

How long I keep things

  • Accounts and invoices: six years plus the current tax year, because HMRC requires it.
  • Member records: while you are a member, then six years, in case of a later claim.
  • Progress photos and health information: deleted from Kahunas when you stop being a member, or sooner if you ask, unless you have given written permission for a specific photo to be used.
  • Enquiries that go nowhere: two years, then deleted.
  • Email list: until you unsubscribe.

Ask, and I will delete anything I am not legally required to keep.

Keeping it safe

I use the sensible protections you would expect on the accounts and systems that hold your details, and I only use companies that do the same. Nothing sent over the internet is ever completely secure, so I will not pretend otherwise, but I take it seriously and I would tell you straight away if anything went wrong.

Your rights

All of these are yours, and using them costs nothing:

  • See a copy of what I hold about you.
  • Have anything wrong put right.
  • Have it deleted.
  • Tell me to stop using it for a while.
  • Object to me using it, and object to marketing at any time, no reason needed.
  • Take it elsewhere in a portable format.
  • Withdraw your permission whenever you gave it, including for your health information.
  • Not have decisions about you made by a machine alone. I do not make any.

Email contact@coachedbykeevil.co.uk and I will sort it within a month. If it is complicated enough to take longer, I will tell you why before that month is up.

If you are not happy

Tell me first and give me the chance to put it right: contact@coachedbykeevil.co.uk. I will look into it and tell you what I have done.

You can also complain to the Information Commissioner's Office at any point, whether or not you have spoken to me. They are at ico.org.uk, on 0303 123 1113, or at Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

Under 18s

The coaching is for adults and this site is not aimed at children. I do not knowingly take details from anyone under 18.

Other websites

Where this site links somewhere else, that company has its own policy and I am not responsible for what it does. Worth a look before you hand anything over.

Changes to this page

If this changes, the new version goes up here and the date below changes with it. If a change is a big one, I will tell you rather than leave you to find it.
